The Client Services Coordinator will provide administrative support to a team of tenant advisors within the Retail Services team in the Atlanta, GA office. The ideal candidate will be proactive, communicate effectively and have solid project management and organizational skills. This position requires desktop publishing work, primarily in Adobe InDesign.
SPECIFIC FUNCTIONS AND RESPONSIBILITIES: ›Effectively manage the New Listing on-boarding process. This includes but is not limited to:
oPulling information such as demographics and market comps utilizing 3rd party software oPlacing and managing sign orders with third party vendors oCreating property flyers within the templates created by the marketing department oFollowing up with clients to obtain keys, and documents necessary for new listings oProviding information to 3rd Party Services and reviewing the information to ensure that all listings are accurate and up to date (e.g., CoStar, Loopnet, VTS) oCoordinating with Marketing to remove new clients from eblast lists
›Effectively manage the Tenant client on-boarding process. This includes but is not limited to:
oPulling information such as client profiles, site criteria etc. oCoordinating with Marketing to remove new clients from eblast lists
›Provide Event and Schedule management for both internal and external meetings and events. This includes but is not limited to:
oBooking and coordinating meetings with attendees and times oTaking meeting notes and following up on outstanding items oBooking reservations for hotels, meals and transportation oManaging trade show schedules oSending out meeting follow- up information oSending client gifts/touch points
›Manage the compiling, printing, binding of REC packages, market tour books, presentation materials, pitch packages, strategic leasing Plans and other documents.
›Coordinate production of execution copies of leases, amendments, commission agreements, co-broker agreements and other legal documents. Scan, email and mail legal documents to the necessary parties and follow-up on their status.
›Compile, file and follow-up on expense reports.
›Run credit reports and research prospective tenants for credit analysis purposes.
›Research, update and manage information in Landvision, Costar, Loopnet, VTS and other internal data sources (e.g., flyers and vacancy lists). Interface directly with representatives from 3rd party software to provide them appropriate information on our assignments.
›Coordinating with Marketing on the creation of flyers, eblasts, and other necessary documents. Including keeping a log of eblasts that have been created over the past 12 months.
›Maintain and clean the broker e-blast list on a quarterly basis.
›Coordinate with GIS/Marketing to create and edit TAO’s and KMZ’s files.
›Create and process vouchers, follow-up on outstanding ›Other tasks as assigned
REQUIRED SKILLS, EDUCATION AND EXPERIENCE
›Bachelor’s degree is highly preferred ›1-3 years of Adobe – InDesign, Photoshop, Illustrator experience required ›Commercial real estate office experience beneficial ›Demonstrates strong organizational and solid time management skills ›Demonstrates excellent attention to detail and strong process orientation ›Demonstrates excellent written and verbal communication skills and interpersonal skills ›Demonstrates both an ability to think and work independently and in a collaborative and team-oriented environment ›Demonstrates strong computer literacy and proficiency in Microsoft Office – Word, Excel, PowerPoint, Outlook ›Demonstrates a strong work ethic – the workflow in this position ebbs and flows, and the candidate is expected to always pursue additional tasks and strategies during quieter days to help the brokers get organized and grow their businesses which in turn helps the company grow ›Demonstrates versatility, adaptability, and ability to work well under pressure in a deadline-driven environment ›Demonstrates excellent customer service skills ›Demonstrates an “anything can be done” attitude
