The Hearth, Patio & Barbecue Association, a 501(c)6 organization located in Arlington, Virginia, is seeking a Trade Show Coordinator to coordinate housing and act as hotel liaison for Meetings Department.
Coordinates housing for EXPO and other meetings as necessary.
Acts as liaison with housing bureau and hotels.
Assists in negotiating contracts with hotels.
Assigns suites and function space for EXPO.
Interacts with membership regarding housing needs.
Assists in implementation of promotional pieces and meeting logistics, such as meeting room assignments, food and beverage selections, and spec sheets for the annual meeting.
Prepares weekly housing and recap reports to include food & beverage, meeting statistics, etc.
Drafts spec sheets at Vice President’s request.
Handles routine convention requirements, i.e., create and order housing forms, get room pick-ups, order office equipment, quick print service, enter staff and meeting room reservations, obtain confirmed menu prices, etc.
Handles all social media efforts for HPBExpo to include Twitter, Facebook and Linked in accounts.
Assists Education department with speaker requests for HPBExpo and database updates of CEU credits earned by HPBExpo participants, participants of online training and affiliate meetings throughout the year.
Contacts outside suppliers at the request of the Vice President - Expositions & Events, i.e., entertainment, destination management companies, etc. Develops and request RFP’s. Prepares reports and makes recommendations.
Maintain files for future meeting locations.
Researches sites for and assist with logistics relating to other meetings organized by department.
Assists department in answering phone and responds to callers’ requests in pleasant and professional manner. Provides information to callers regarding upcoming HPBA activities and events insofar as possible; and fill requests for materials.
Coordinates and produces mailings.
Provides clerical and support assistance as needed by Vice President - Expositions & Events.
Undertakes such other special projects as may be requested from time-to-time by the President and Vice President.
This is a full-time non-exempt position with an excellent benefits package and work environment. Salary commensurate with experience. Our offices are located one block from the Rosslyn Metro station.
